Where it is: locations
Give every piece of equipment a home: a building, a room, a truck, a shelf. Locations nest, so “Main shop > Truck 3 > Toolbox” is three locations, one inside the next. Move a piece of equipment between locations and the move is recorded.
How many locations you get depends on the plan:
| Plan | Locations |
|---|---|
| Starter | 3 |
| Pro | 5 |
| Business | 50 |
| Enterprise | unlimited |
Locations themselves do not carry a barcode. You scan the equipment, not the shelf.
Who has it: check-out and check-in (Pro and up)
When someone takes a piece of equipment, check it out to them: a person, a crew or a job. Add how many, a due-back date and a note if you want one.
- Returns: when it comes back, check it in. Partial returns work: three out, two back.
- Who has what: the active check-outs list shows who has what, filters by person, and shows what is overdue.
- Overdue email: team members who turn on email notifications get an overdue email.
- History: every check-out and return is recorded on the item's history, with who issued it.
Check-out is on Pro ($49/mo) and up. It works on the web and in the iOS and Android apps. New accounts on Pro and up start with Asset Tracking switched on; an owner or admin can switch it off or on in Settings.

On your phone: the equipment tracking app
InventoryQuick has native apps for iPhone and Android, and runs in the browser on a computer. On a phone:
- Scan: point the camera at a piece of equipment's barcode or QR code to find it. Scanning is on every plan.
- Check out: check it out or back in from the same screen (Pro and up).
- Photo: add a photo so the next person knows what they are looking for.
If a piece of equipment has no barcode, give it one. Each item can show and print its own barcode or QR code (Code 128, EAN-13, UPC-A or QR), and you can print barcode labels for many items at once.
The apps need a connection. There is no offline mode.
Tools, too
Tools are equipment with more hands on them. The same locations, scanning and check-out work for drills, meters and ladders, and for the consumables used alongside them: track what is used as well as what has to come back.
- Tools spread across job sites and trucks: tool tracking.
- A tool room with a counter: tool crib software.
What it does not do
- No GPS and no Bluetooth tags. InventoryQuick knows where equipment is because someone put it in a location or checked it out. It does not track position.
- No maintenance schedules. It is not a maintenance system.
- No dedicated serial-number field. Put the serial in the item's description or notes.
- No offline mode.
What it costs
Every piece of equipment you track on its own counts as one item. Equipment you track as a quantity (“12 extension cords”) is one item with a count of 12.
| Plan | Price | Items | Locations | Users | Check-out |
|---|---|---|---|---|---|
| Starter | $19/mo | 250 | 3 | 2 | no |

| Business | $149/mo | 5,000 | 50 | 15 | yes |

Trial: every plan starts with a 7-day free trial, and you won't be charged for 7 days. On the web you pick a plan and enter a card. To try check-out, pick Pro; Asset Tracking starts switched on. In our apps you start straight away.
There is no free plan. If a sign-out sheet is all you need for now, our free equipment sign-out sheet template is the honest place to start.
Frequently asked questions
What is equipment tracking software?
It records where each piece of equipment is and who has it. In InventoryQuick that means locations for where it lives, and check-out and check-in (Pro and up) for who has it and when it is due back.
Is there a free equipment inventory app?
InventoryQuick has no free plan. Every plan starts with a 7-day free trial, and you won't be charged for 7 days. Starter is $19/mo for 250 items. A paper sign-out sheet is the free option, and our template is linked above.
Can I track equipment with my phone?
Yes. The iPhone and Android apps scan barcodes and QR codes on every plan, and check equipment out and in on Pro and up.
Does it use GPS?
No. It knows where equipment is from the location you put it in and who checked it out, not from a tracker.
How many pieces of equipment can I track?
250 items on Starter, 500 on Pro, 5,000 on Business, and unlimited on Enterprise. A piece you track on its own is one item.
Can I see who has a piece of equipment right now?
On Pro and up, yes. The active check-outs list shows who has what, filters by person, and shows what is overdue.
Does the app work offline?
No. The apps need a connection.
