InventoryQuick is operated by CHAMBERLAIN DESIGN LLC, a New Hampshire limited liability company ("Company", "we", "us", or "our"). This Privacy Policy describes how we collect, use, and protect your information when you use our service.

When you use InventoryQuick, we collect the following information:

  • Account Information: Email address and name (authentication is handled by Auth0 — we do not store passwords)
  • Inventory Data: Parts, suppliers, locations, purchase orders, and related business data you enter
  • Usage Data: How you interact with the application (pages visited, features used)
  • Device Information: Browser type, IP address, device type for security and optimization

2. How We Use Your Information

We use your information to:

  • Provide and maintain the InventoryQuick service
  • Process your inventory management operations
  • Send important service updates and security alerts
  • Improve our product based on usage patterns
  • Provide customer support when you contact us
  • Process billing and payments for paid plans

3. Data Storage and Security

Your data is stored securely using industry-standard practices:

  • Authentication: Powered by Auth0 with enterprise-grade security
  • Database: PostgreSQL database with encryption at rest and in transit
  • Infrastructure: Hosted on secure cloud platforms (Railway, Vercel)
  • Payments: Payment processing handled by Stripe (PCI compliant)

4. Third-Party Services

We use the following third-party services:

  • Auth0: Authentication and user management
  • Stripe: Payment processing for paid subscriptions
  • Google Analytics (GA4): Website analytics and usage tracking (collects anonymized interaction data)
  • Anthropic (Claude AI): Powers the IQ Assistant and AI features (your inventory data may be sent to generate responses)
  • Twilio: SMS notifications for stock alerts and order updates
  • SendGrid: Transactional email delivery
  • SerpAPI / Brave Search: Price monitoring web searches (product names are sent to search APIs)
  • Vercel: Frontend hosting and deployment
  • Railway: Backend API and database hosting
  • Sentry: Error monitoring and performance tracking

Each service has its own privacy policy governing their data practices. We only share the minimum data necessary for each service to function.

5. Data Sharing

We do not sell, rent, or share your personal data with third parties except:

  • With service providers necessary to operate InventoryQuick (Auth0, Stripe, etc.)
  • When required by law or to protect our legal rights
  • With your explicit consent

6. Your Rights

You have the right to:

  • Access: Request a copy of your data
  • Export: Download your inventory data as CSV
  • Correction: Update or correct your information
  • Deletion: Request deletion of your account and data
  • Object: Object to certain data processing activities

7. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your data within 30 days, except where we are required to retain it for legal or compliance reasons.

8. SMS Notifications

If you opt in to SMS notifications, we collect and store your phone number to send inventory alerts such as low stock warnings, purchase order updates, and delivery confirmations. Your phone number is verified via a one-time code and stored securely. SMS messages are sent through Twilio, our third-party messaging provider. You can opt out at any time by replying STOP to any message or disabling SMS in your account settings. We do not share your phone number with third parties for marketing purposes. 9. Cookies and Tracking

We use the following types of cookies:

  • Essential cookies: Required for login sessions and security (Auth0)
  • Analytics cookies: Google Analytics (GA4) uses cookies like _ga and _ga_* to measure how you use our site. This data is anonymized and not used for advertising
  • Preference cookies: Remember your language, currency, and theme settings

We do not use tracking cookies for advertising purposes and do not participate in ad networks.

10. International Data Transfers

Your data may be stored and processed in the United States or other countries where our service providers operate. We ensure appropriate safeguards are in place for international data transfers.

11. Children's Privacy

InventoryQuick is not intended for use by individuals under 18 years of age. We do not knowingly collect data from children.

12. Legal Basis for Processing (GDPR)

If you are in the European Economic Area (EEA), we process your data under the following legal bases:

  • Contract: Processing necessary to provide the InventoryQuick service you signed up for
  • Legitimate Interest: Analytics, error monitoring, and product improvement
  • Consent: SMS notifications and marketing emails (you can opt out at any time)
  • Legal Obligation: Retaining billing records as required by law

If you are a California resident, you have the right to:

  • Opt out of the sale of personal information (we do not sell your data)
